Terms and Conditions

Welcome to Romy Olivia Artistry and Academy. By booking an appointment with us, you agree to comply with and be bound by the following terms and conditions. Please read them carefully before scheduling your service.

1. Cancellation & Rescheduling Policy

We value your time and ask that you respect ours. Because your brow appointments are reserved specifically for you, we require a minimum of 48 hours' notice for any cancellations or rescheduling requests.

  • More than 48 hours' notice: You may cancel or reschedule your appointment with no penalty.
  • Within 48 hours' notice: Cancellations or rescheduling requests made within 48 hours of the scheduled start time will incur a charge equal to 50% of the total service fee.
  • Under 24 hours' notice or No-Shows: Cancellations made under 24 hours prior to the appointment, or failure to show up at all ("No-Show"), will incur a charge equal to 100% of the total service fee.

2. Outstanding Balances & New Bookings

If you incur a cancellation or no-show fee, the balance must be paid in full immediately.

  • Booking Restriction: Romy Olivia Artistry and Academy will not accept any future bookings from you until all outstanding fees from a previous cancellation or no-show are paid in full. Any appointments requested while a balance is outstanding will be automatically declined or cancelled.

3. Fair Use & No-Show Ban Policy

We understand that emergencies happen. However, repeat offenses heavily impact our business and other clients waiting for appointments.

  • Three-Strike Rule: If a client fails to show up for three (3) consecutive appointments without providing notice and without paying the associated no-show fees, they will be permanently banned from booking any future services with Romy Olivia Artistry and Academy.

4. Right to Refuse Service

We reserve the right to refuse service or cancel appointments for any client who repeatedly violates our policies, demonstrates inappropriate behaviour, or fails to settle outstanding balances.

5. Lateness Policy & Grace Periods

We operate on a strict, back-to-back schedule to ensure every client receives their full, unhurried service. If you are running late, please notify us as soon as possible. We offer a tiered grace period based on the duration of your scheduled treatment:

If you exceed the grace period for your scheduled service, we will not be able to accommodate you, and your appointment will be treated as a last-minute cancellation. To cover the cost of the lost time slot, full payment (100% of the treatment fee) will be required, and any future bookings will be paused until this balance is settled.

  • For Treatments Under 30 Minutes: We offer a strict 5 to 10-minute grace period. If you arrive more than 10 minutes late, your appointment will be cancelled and charged 100% of the treatment.
  • For Treatments of 60 Minutes or More: We offer a 15-minute grace period. If you arrive more than 15 minutes late, your appointment will be cancelled and charged 100% of the treatment.

6. Guest & Age Policy

At Romy Olivia Artistry, we strive to provide a premium, relaxing experience for all of our clients.

Due to the detailed nature of our brow treatments—which involve sharp tools, specialized chemical solutions, hot wax, and intense focus—and in accordance with our health, safety, and insurance regulations, we operate a strict adult-only environment. No babies, toddlers, or children under the age of 13 are permitted in the salon under any circumstances.

  • Minimum Age for Services: We do not perform treatments on anyone under the age of 13. Any client between the ages of 13 and 16 must be accompanied by a parent or legal guardian.
  • No Unattended Guests: Because our artists must focus entirely on your treatment, extra guests or children cannot be left unattended in the waiting area during your service.
  • Policy Enforcement: If you arrive at your appointment with a baby or a child under 13, we will unfortunately be unable to honour your booking. The appointment will be cancelled on the spot and treated as a last-minute cancellation, incurring a 100% service fee in line with our cancellation policy.

7. Refund & Correction Policy

At Romy Olivia Artistry, we take great pride in our work and want you to love your treatments. Because our services require dedicated time, skilled expertise, and premium cosmetic products that cannot be recovered once used, we enforce a strict no-refund policy on all completed treatments.

If you are not completely satisfied with your results, we are happy to offer a complimentary correction service under the following conditions:

  • 7-Day Reporting Window: Any dissatisfaction or issue with your treatment must be reported to the salon within seven (7) days of your original appointment.
  • Complimentary Correction: If reported within the 7-day window, we will assess the treatment area and gladly book you in for a complimentary correction treatment to adjust what is needed. In unique circumstances where an immediate physical correction is not viable, a complimentary credit may be applied to your next scheduled service at the discretion of management.
  • After 7 Days: Any complaints or adjustment requests made after the 7-day mark will not be eligible for a free correction. Because brows and lashes naturally grow, shed, and change over time, any adjustments requested after this window will be treated as a new, fully chargeable appointment.

8. Patch Testing & Allergies

To ensure your health and safety, certain treatments (including brow lamination, tinting, and lash lifting) require a mandatory patch test at least 24 to 48 hours prior to your first appointment.

  • Refusal to Patch Test: If you refuse a patch test or fail to attend your scheduled patch test slot, Romy Olivia Artistry reserves the right to cancel your appointment. This will be treated as a last-minute cancellation, and the standard cancellation fees will apply.
  • Medical Changes: It is your responsibility to inform your artist of any changes to your medical history, skin conditions, new medications, or pregnancies before your treatment begins, as these can alter how your body reacts to our products.

9. Aftercare Compliance

Premium results rely heavily on proper post-treatment maintenance. Complete aftercare instructions will be provided verbally and/or digitally at the end of your service (such as avoiding water, steam, and oil-based products on laminated brows for the first 24–48 hours).

Romy Olivia Artistry is not responsible for poor retention, structural damage, or fading caused by a failure to strictly adhere to the provided aftercare instructions. If an issue arises due to incorrect aftercare, it will not qualify for a complimentary 7-day correction and any adjustments will be fully chargeable.

10. Photography & Media Release

We love showcasing our work! During your treatment, we may take high-resolution photographs or short video clips of your brow/treatment area for portfolio building, educational training materials, and social media marketing.

By booking an appointment, you grant Romy Olivia Artistry permission to use these images. If you prefer not to have your photos shared publicly, please inform Romy prior to the start of your treatment, and we will happily respect your privacy.

11. Emergency & Medical Exceptions

We completely understand that genuine emergencies, sudden high-risk illnesses, or medical crises happen. In these rare and unavoidable circumstances, Romy Olivia Artistry may waive or reduce the short-notice cancellation fees, or allow your deposit to be transferred to a rescheduled date.

  • Communication: To qualify for an emergency exemption, you must contact the salon as soon as humanly possible prior to your appointment start time.
  • Management Discretion: To protect our business structure from policy abuse, all emergency or high-risk illness exemptions are granted at the sole discretion of management. Documentation (such as a doctor's note or medical confirmation) may be requested to waive the 100% cancellation fee. Chronic or repeat short-notice cancellations citing emergencies will not be exempted and will fall under our standard penalty fees.

12. Foreign Work Policy

At Romy Olivia Artistry, we pride ourselves on maintaining an elite standard of work. We do not perform maintenance, infills, or corrections on brow work or lash work originally completed by another salon or technician. If you currently have work from another artist, you must book a full removal and a new full set/treatment. Booking a standard maintenance appointment over foreign work without prior management approval will result in the cancellation of your session and a 100% short-notice cancellation charge.

Lash Lift & Brow Lamination Frequency: To prevent chemical over-processing and maintain hair health, all Lash Lift and Brow Lamination treatments require a mandatory minimum of eight (8) weeks between sessions. This essential window ensures the hair cycle has completely re-grown and shedding has occurred. We will not perform these chemical services any earlier under any circumstances.

13. Rates and Price Adjustments

Romy Olivia Artistry & Academy reserves the right to adjust treatment and workshop pricing at any time to reflect rising product costs, inflation, or economic changes. While we honour pricing for appointments secured with an immediate booking fee, quotes given without a secured booking fee are subject to change.
